Why do customers decide to use your services?

Clients choose TrueFocus because we know the title and mortgage business, not just automation. They get faster turn times, lower per-file cost, and proprietary products like Title Hunter and Title Miner that are already purpose-built for their industry.

Is my company big enough to use Automation and AI?

Yes. Our smallest clients process a few hundred files a month and still see meaningful savings. Automation is sized to your volume, not the other way around.

How long does an implementation take?

Most RPA bot implementations go live in 4 to 6 weeks. More complex AI document processing or multi-system workflows take 8 to 12 weeks (about 3 months). You receive a firm timeline after the initial discovery and process review.

Can we start with a pilot before committing to full automation?

Yes. Most clients begin with a focused pilot on one process to validate accuracy, ROI, and fit before expanding into additional workflows.

What is the typical ROI timeline?

Most clients reach full ROI within 6 to 12 months. Higher-volume processes such as title search, document indexing, and data entry often pay back in under 6 months.

How is pricing structured?

Custom automation projects use a fixed build fee plus a monthly support and maintenance subscription. Title Hunter and Title Miner are priced per transaction, so you only pay for what you use.

Do you require long-term contracts?

No. Most engagements are month-to-month after the initial build, with no multi-year commitment required.

Are there penalties for scaling down usage?

No. On month-to-month plans, you can adjust volume or pause services without penalty fees.

Do we own the bot or rent it?

For custom automations built for your processes, you own the bot along with the supporting documentation. Our proprietary products, Title Hunter and Title Miner, are licensed under a subscription model.

Technology & Connectivity

What systems do you integrate with?

We can integrate with SoftPro, Qualia, RamQuest, ResWare, Encompass, ICE Mortgage Technology, Salesforce, and most major title and mortgage platforms. We also work with title plants, county recorder and assessor websites, MLS sites, and custom in-house applications. If a person can use the system through a browser or desktop, our bots can work with it.

Do you support integration with CRM systems?

Yes. We integrate with most any CRM or other web-based systems through native APIs or middleware.

Do you offer API or webhooks for custom integrations?

Yes. Title Hunter and Title Miner expose REST APIs and webhooks for triggering jobs, retrieving results, and pushing status updates into your downstream systems.

Which AI tools do you use?

We use a combination of Anthropic Claude, OpenAI GPT, Google Gemini, and Microsoft Azure AI. We’ve also developed our own proprietary AI model inside Title Miner for document classification and data extraction on sensitive documents. Tool selection depends on the use case, accuracy requirements, and data sensitivity.

If you have already built a bot for someone else, can't we buy a copy to speed up implementation?

Most processes share common patterns, but every client has different systems, file formats, and exception rules, so a direct copy rarely works as-is. We do reuse our libraries, frameworks, and Title Hunter and Title Miner products to compress timelines and reduce costs.

Is our data secure? What certifications do you have?

TrueFocus Automation is ISO 27001:2022 certified and currently completing SOC 2 Type 2. Data is encrypted in transit and at rest, access is role-based, and all activity is logged for audit and compliance review.

Are you ALTA Best Practices compliant?

Yes. Our security, data handling, and operational controls are aligned with ALTA Best Practices and reinforced by our ISO 27001:2022 certification.

Where is the data hosted?

Production environments run on enterprise cloud infrastructure in U.S. data centers. We can also deploy on your own cloud or on-premises environment when required by your security or compliance team.

Can we audit the bot activity logs?

Yes. Every transaction is logged with timestamps, inputs, outputs, and outcomes. Logs are available through dashboards and exportable reports for internal review or regulatory audits.

Can automation run 24/7, or only during business hours?

Bots run continuously, including nights, weekends, and holidays. You decide on the schedule based on system availability and business needs.

Can we scale up or down bot capacity based on volume spikes?

Yes. Capacity scales on demand, so you can absorb refinance booms, end-of-month surges, and seasonal volume without adding headcount.

How do you handle exceptions and errors?

Bots are designed to flag exceptions to a human review queue rather than fail silently. Your team or ours, depending on the agreement, reviews flagged items while the bot continues processing the rest of the workload.

How do you handle tasks that require judgment or exceptions?

Tasks requiring judgment are routed to a human reviewer through a structured exception queue. The bot handles the routine 80 to 95 percent of work, and your team or ours focuses only on the items that need a decision.

What happens when a website changes and the bot breaks?

Our managed support team monitors bot performance daily and resolves website or platform changes as part of your support agreement. Most updates are restored within hours of detection at no additional cost.

How is this different from hiring offshore staff?

Bots run 24 hours a day, seven days a week, with no sick days, training cycles, or turnover. Output is consistent and fully auditable, and you can scale capacity up or down without hiring or layoffs.

Who is our point of contact after go-live?

You are assigned a dedicated account manager and a technical lead who knows your processes. They handle daily support, change requests, and quarterly performance reviews.

What are your support hours and response time SLAs?

Standard support runs Monday through Friday, 8 AM to 6 PM Central, with critical-issue response within one hour. Extended 24/7 support tiers are available for time-sensitive operations.

Do you offer training for our staff?

Yes. We provide hands-on training, written runbooks, and recorded sessions for end users, exception handlers, and administrators. Refresher training is included in ongoing support.

Disaster Recovery & Resilience

What is your Business Continuity Plan (BCP)?

TrueFocus maintains a documented BCP as part of our ISO 27001:2022 program, covering personnel, infrastructure, data backups, and vendor failover. The plan is tested annually and reviewed after any significant incident.

How quickly can you restore service if there is an outage?

Our recovery time objective is 4 hours for critical services and 24 hours for full restoration, with a recovery point objective of 1 hour. Backups are tested regularly to ensure reliability.

What is Title Hunter®?

Title Hunter is TrueFocus’s automated title-search platform. It reduces repetitive online public-record searching and organizes results for review.

What technology is used behind automated title searches?

The workflow can combine RPA, OCR/ICR, cloud services, APIs, and AI-assisted document processing depending on the search and reporting requirements.

How do you validate that pertinent documents were retrieved?

Validation uses multiple data points such as address, name, legal description, parcel identifiers, and reference documents, with exceptions routed for human review.

Can Title Hunter work with our own title plant?

Where client systems and access permit, automation can work with client-owned title-plant resources as well as supported public-record sources.

How fast can an automated search complete?

Turnaround depends on product scope, source-system response time, and exceptions. The automation is designed to remove manual waiting and repetitive retrieval wherever possible.
